Construction & contracting

Construction ERP that knows where the money is on every contract

Covadesk follows a contract from tender to final account: bills of quantities, monthly valuations, interim payment certificates that raise real invoices, variations, retention with release dates, and the subcontractors you certify in turn — with job costing on the same ledger.

Built for: Building and civil-engineering contractors, specialist subcontractors and design-and-build firms working on private and public contracts.

The problems we solve

Where contractors lose money — and how Covadesk closes the gap

  • Retention nobody is watching

Retention is held a few percent at a time and released a year after the job ends. Covadesk computes release dates from the contract the moment practical completion is recorded.

  • Certificates in a spreadsheet

Every figure on a valuation is cumulative except the answer. Covadesk does the arithmetic — gross to date, less retention, less previous certificates — the same way every time.

  • Variations agreed on site, never billed

Instructed variations are tracked from pending to agreed and flow into the contract value and the next certificate.

  • Subcontractor money out of step

Subcontract certified work, back-charges and the retention you hold are tracked against what the client has certified to you.

What contractors see in Covadesk

Real Covadesk screens, shown with sample data.

Covadesk construction dashboard with order book, retention held and contracts with progress

The order book, what is waiting to be certified, and what the clients are still holding.

Features

Everything contractors need, in one system

Contracts and the order book

Contract sum, approved variations, certified to date and what is left to certify — for every live contract.

  • Contract register with client, sum, completion date and status
  • Late contracts flagged past their completion date
  • Defects liability period tracked after practical completion
  • Progress per contract from certified value

BOQs and rate build-ups

A bill rate is labour, material and plant, grossed up for overhead and then margin — kept so a queried rate can be explained.

  • Priced bills of quantities per contract
  • Rate build-ups with compounding overhead and margin
  • Re-measure at new quantities using the same build-up

Valuations and payment certificates

Measured work becomes a certificate, and a certificate becomes an invoice the client owes.

  • Periodic valuations of measured work and agreed variations
  • Interim payment certificates computed cumulatively
  • Certificates raise invoices that age in receivables and post to the GL
  • Client portal view of certificates

Retention

A ledger with due dates rather than a total.

  • Retention held per certificate, capped at the contract limit
  • Half claimable at practical completion, half at the end of defects liability
  • Retention due and over-90-day amounts on the dashboard

Subcontracts, plant and site

Everything else that moves money on a site.

  • Subcontract orders with certified work, retention held and back-charges
  • Plant register and plant hire
  • Tenders and a daily site diary
  • Job costing from purchases, stock issues and timesheets

How it flows

One process, start to finish

  1. 01

    Tender

Price the BOQ with rate build-ups and track the tender.

  2. 02

    Award

Convert to a contract with sum, retention terms and completion date.

  3. 03

    Value

Measure work each period, including agreed variations.

  4. 04

    Certify and invoice

Issue the payment certificate; the invoice posts and starts ageing.

  5. 05

    Pay subcontractors

Certify their work, apply back-charges and hold retention.

  6. 06

    Release retention

Claim each half on the dates computed from the contract.

Questions

Covadesk for contractors: common questions

Does Covadesk produce interim payment certificates?

Yes. A valuation records the cumulative gross work to date; Covadesk deducts retention held to date (capped at the contract limit) and everything previously certified to give the certificate amount, then raises the invoice.

How is retention tracked?

Retention is held per certificate as a ledger with due dates. When practical completion is recorded, Covadesk computes when the first half becomes claimable and when the second half falls due at the end of the defects liability period.

Can we manage subcontractors?

Yes. Subcontract orders track committed value, certified work, retention you hold and back-charges, so what you owe subcontractors sits next to what clients owe you.

Does Covadesk do job costing?

Yes. The Projects module costs each job from purchases, stock issues and timesheets against its budget and cost codes.
