Professional services

Practice management that turns time into cash — net of withholding tax

Covadesk values work in progress at the rate agreed when the work was done, makes write-offs a decision with a partner’s name on it, issues bills as real invoices, and tracks the withholding tax your clients deduct until the certificate is in hand.

Built for: Management consultancies, law firms, audit and accounting practices, engineering and architecture firms, and agencies billing time and materials, fixed fees or retainers.

The problems we solve

Where professional firms lose money — and how Covadesk closes the gap

  • WIP everybody believes

Hours sit in WIP that a client will never accept. Covadesk separates what work was worth, what the firm will bill and what it cost.

  • Withholding chased as debt

Kenyan clients withhold tax on professional fees at source. Covadesk forecasts cash net of it and tracks the certificate — so the shortfall is not chased and the credit is not lost.

  • Ceilings passed without anyone noticing

Engagements carry their agreed ceiling, and work nearing or past it is flagged before the bill is drafted.

  • Consultants under target

Utilisation by consultant against target shows who is over-committed and who is free — before the month ends.

  • Fixed fee, time and materials, milestone and retainer engagements
  • Rate cards per grade, set by one person and approved by another

  • Billable expenses approved and passed through

Client withholding tax

What an invoice will actually collect.

  • Expected receipt computed net of withholding
  • Withholding certificates tracked per invoice until received
  • Uncertified withholding older than 90 days surfaced on the dashboard

Questions

Covadesk for professional firms: common questions

How does Covadesk handle withholding tax deducted by clients?

When a client withholds tax on professional fees, Covadesk records the expected receipt net of withholding, so cash is forecast correctly and the shortfall is never chased as a debt. Each deduction is tracked until the withholding certificate is received, so it can be offset against the firm’s own tax.

Can we bill fixed fees and retainers as well as time?

Yes. Engagements can be fixed fee, time and materials, milestone-based or retainers, each with its own billing rules and ceiling.

Who can write off WIP?

Write-offs need the dedicated permission, normally held by partners, and are recorded with the amount, reason and approver — never dropped silently from a bill.
